Terms and Conditions of Booking:
1. Full payment as applicable and submission of our official booking form are required to secure your plot reservation (booking form available online or in printed form).
2. We confirm space reservation for attendance on the day only upon receipt of this booking form and full payment as applies. All bookings are agreed subject to our discretion. We can issue a pro-forma invoice on request.
3. One standard plot size allocation is approx: Budget 1.5m x 1.5m, Standard 2m x 1.5m, Premium up to 3m x 2m (other sizes by negotiation).
4. Details of specific location allocation/placement at the event will be issued by us prior to the event.
5. All attending representatives must abide by stated unloading and clearance times.
6. Attendees are required to report to staff on arrival and are responsible for raising any concerns over placement either beforehand or on the day.
7. Winchester Student Union will attempt to resolve any placement difficulties amicably and flexibly if they may occur on the day. Our decision on placement will be final.
7. Your organisation must adhere to our standard policies including those regarding equal opportunities for all*
8. We reserve the right to refuse admission to any stallholders if any terms & conditions are not adhered to, or are infringed at the event.
9. Unless not required a table and 2 chairs will be supplied by us in the stallholders plot. We do not supply other specific provisions such as promotional stands. We cannot store items before or after the event for stallholders.
10. All requests for any special provisions for the day must be arranged beforehand and are subject to availability and practicality.
11. You agree to nominate an appropriate responsible person ahead of the event to act as a contact for safety issues, who will complete a risk assessment form (provided by us) before the event. The safety contact is required to communicate your organisation’s arrival and leaving to us on the day & report any concerns.
12. Written notice of cancellation must be received by us at least 15 days prior to the event to receive a refund of moneys paid (we reserve the right to deduct a 25% administration fee).
13. In case of stallholder non-attendance at the event, other than as noted above, no refund of fees paid will become due by us.
All bookings are strictly subject to availability. Confirmed allocation will only be made upon full receipt of payment.
